JOB SUMMARY
In this administrative role, your independent and structured working style ensures smooth processes within the Fragrance Design Team. You coordinate daily priorities, organize materials, and reliably support the team in day-to-day operations. You appreciate clear responsibilities, recurring tasks, and the opportunity to bring stability and continuity to a versatile environment.
YOUR MAIN RESPONSIBILITIES
- Pre-screening of new briefings and coordination with various departments such as Fragrance Design, Sales, and Analytical Perfumery.
- Managing the daily priority list and conducting morning meetings with the relevant departments.
- Responsibility for product entry as well as the organization, maintenance, and clean-up of our fragrance and product library.
- Managing shopping lists, including the procurement of required products and materials.
- Organizing blind tests and supporting the preparation of internal fragrance training sessions.
- Providing products and materials for client visits, exhibitions, and trade fairs.
- Administrative support for the team, particularly regarding business travel, client presentations, and fragrance training sessions.
REQUIREMENTS
- Experience in an administrative role, ideally in a coordination or assistant function.
- Strong organizational and planning skills, as well as the ability to reliably coordinate priorities.
- High service orientation and enjoyment of actively supporting teams.
- Proactive, independent, and solution-oriented working style.
- Fluent in German and English; French is a plus.
- Strong interest in fragrances and the perfumery industry.
- Proficient in Microsoft 365, particularly Word, PowerPoint, Excel, Outlook, OneNote, and Teams.
